Merrimac Public Library Board of Trustees

Trustees’ Meeting, October 12, 2016

Paul Kimbrell was in attendance tonight to observe a trustees’ meeting and the role of the trustee.

On the minutes from the trustees’ meeting September 14, 2016, the date of the next meeting was reported as October 12, 2015, which should read 2016. This will be corrected.

Warrants and payrolls were available to the trustees.

Jen reported that she has submitted the application for a grant to the Cultural Council.

The Director’s Report was sent to the trustees prior to tonight’s meeting. Tina noted that the HVAC problems have been corrected and explained the fee for a domain name. She is unsure why the electricity usage has been high, but will follow this now that the HVAC problem has been corrected and the hot weather season has passed.

ACTION ITEM - Susan suggested that Tina e-mail Marie Greeley to inquire about the amount of money taken in by the Friends at the Bake and Book Sale on October 8.

Jeff explained the process of replacing a library trustee who has resigned and sent notification to the selectmen’s secretary on October 7. The selectmen’s secretary indicated that the selectmen would appoint the new trustee to fill in on the library board.

ACTION ITEM - Jeff will explain to the secretary the process that is recommended by the state, which is a roll call vote with both the selectmen and the library board.

Paul consented to having his name submitted to fill the vacancy on the library board.

ACTION ITEM - Tina will get an estimate on having the juniper bushes and trees trimmed and removal of bushes near the children’s room. Susan suggested that Tina consult with the town if she needs trees removed. Tina noted that she thought the Methodist Church had asked permission to put up their free lunch sign. If signage becomes a problem, she will tackle it at a later date.

The meeting was adjourned at 6:25. The next trustees’ meeting is scheduled for November 9, 2016.

Respectfully submitted,
Yvonne Cosgrove
